Gumption Software Privacy Policy
Last updated: 30 September 2026
This policy explains what personal information Gumption Software ("we", "us") collects about you in connection with Gumption Invoicer (the "Software") and our website, why we collect it, and your choices. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
The short version: your business data (invoices, customers, vehicles, inventory and so on) stays on your computer. We never see it. We only keep what we need to sell you a licence, make sure it works, and support you.
1. What stays on your computer
Everything you enter into the Software is stored only on your own computer. This includes your company details, invoices, customers, vehicles, parts, payments, expenses and reports. Gumption Software does not receive, store or have access to any of it.
The error log the Software writes (error.log) also stays on your computer. It only reaches us if you choose to send it to us for support.
2. What we collect, and why
| What | When | Why |
|---|---|---|
| Your name or business name, email address, amount paid and Interac e-Transfer reference | When you buy a licence | To match your payment, send your Licence Code and keep the business records the law requires |
| Your Licence Code | When you buy, activate or deactivate, and at each licence check | To know which licence is being used |
| An anonymous device identifier | When you activate, deactivate, and at each licence check | To tell the Devices using your licence apart (for the two-Device limit). It is created from Windows' machine identifier and scrambled one-way, so it can't be used to identify or locate your computer. |
| The name of your computer (as set in Windows) | When you activate | So you and we can tell your Devices apart when you ask us to release one |
| Date of activation, and date last seen | When you activate, and at each licence check | To show which Devices are still in use and to help with support |
| Anything you send us by email | When you contact support | To answer you |
We do not store your IP address in our licence records. We don't use cookies or tracking in the Software, and we don't sell, rent or trade your personal information.
3. Licence checks
Each time the Software starts while connected to the internet, it sends your Licence Code and the anonymous device identifier to our licence server (license.gumptionsoftware.men). The server confirms the licence is still valid and updates the "last seen" date. If you're offline, nothing is sent and the Software works normally.
4. Updates
The Software checks for updates when it starts. When it does, it downloads files from downloads.gumptionsoftware.men. This request doesn't include your Licence Code or any of your data.
5. Optional Google Drive backup
If you turn on Google Drive backup, the Software sends your backup files directly from your computer to your own Google Drive. They don't pass through our servers, and we can't see them. The Software asks Google only for permission to manage the files it creates itself; it can't see the rest of your Drive. The sign-in token is stored on your computer. You can turn the feature off at any time and remove the Software's access in your Google Account settings. Google's own privacy policy applies to your Google account.
6. Service providers
- Cloudflare, Inc. provides our domain, the secure connection to our licence server, and file hosting for downloads and updates. Like any network provider, Cloudflare processes technical connection information (such as IP addresses) to deliver these services and protect them from abuse. Cloudflare may process this information outside Canada, including in the United States.
- Google delivers email we send and receive, and provides the optional Drive backup described above.
- Your bank and ours process Interac e-Transfer payments.
7. Where your information is kept, and for how long
Licence records are kept on our own server in Ontario, Canada. Backups are kept under our control.
We keep licence and sales records while your licence exists, and afterwards for as long as Canadian tax law requires (generally six years). We keep support emails as long as they are useful for supporting you.
8. Security
- Our licence server accepts connections only through an encrypted (HTTPS) link.
- The administration tools can't be reached from the internet.
- Licence records are backed up regularly.
- Licences are digitally signed, so they can't be forged.
No system is perfectly secure, but we take reasonable steps to protect your information.
9. Your rights
You can ask us:
- what personal information we hold about you;
- to correct it;
- to delete information we no longer need to keep by law. Note that deleting your licence record means your Licence Code will stop working.
Email [email protected]. We'll answer within 30 days. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca.
10. Your customers' information
The Software stores information about your own customers on your computer. You are responsible for handling it as the privacy laws that apply to your business require. We never receive it.
11. Changes to this policy
If we change this policy, we'll post the new version at gumptionsoftware.men/privacy.html and update the date at the top. If a change is significant, we'll tell you by email or in the Software.
